Group Tour Registration
Frequently Asked Questions
A group tour is for organized groups of 15 to 80 students who would like to visit UT San Antonio for a guided campus tour.
Group Tours are available for students who are high school age and older, including high schools, community colleges, college-readiness programs, youth organizations, and other specialized student groups.
These visits are a great option for counselors, teachers, school staff, and program leaders who want to bring students to campus, explore UT San Antonio, and help students learn more about the college experience.
Elementary and middle school group tours are hosted by UT San Antonio Community Outreach and can be scheduled online here: https://future.utsa.edu/community-outreach/elementary-middle-school/
A counselor, teacher, school administrator, program leader, or designated chaperone may register for a group tour.
The person completing the request should be the main point of contact for the visit. This person will be responsible for sharing important details with their group, including arrival time, parking or drop-off instructions, chaperone expectations, behavior expectations, and any schedule updates from the Welcome Center.
Students should not submit group tour requests on behalf of their school or organization.
Group Tours are available for organized groups of 15 to 120 students.
Groups are required to have at least 1 adult chaperone for every 20 students. Chaperones must stay with their students throughout the visit and help ensure the group follows campus expectations.
If your group has more than 120 students, please contact the Welcome Center at [email protected] before submitting a request. Large-scale group visits require at least 30 days of advance notice so our team can review scheduling, staffing, and visit options.
Group tours do not automatically include an admissions presentation. The standard group tour experience is a guided campus tour.
Admissions presentations may be available by request, depending on staff availability, group size, schedule, and campus operations. If your group would like to request an admissions presentation, please contact the Welcome Center at [email protected] at least two weeks before your visit.
Early requests are strongly recommended so our team has time to review availability and help plan the best visit experience for your group.
A group tour typically lasts about 1 hour and 15 minutes to 1 hour and 30 minutes.
Tour length may vary based on group size, walking pace, weather, campus activity, and the route used that day. If your group arrives late, the tour may be shortened to help keep the visit on schedule.
At this time, group tours are not available at the Downtown Campus.
Group Tours are currently hosted at the Main Campus, where most academic majors and student services are based. This allows students to explore key campus spaces, learn more about student life, and get a strong overview of the UT San Antonio experience.
If your group has questions about Downtown Campus visit options, please contact the Welcome Center at [email protected] so our team can help point you in the right direction.
Group tour spots are limited, so we encourage counselors, teachers, program leaders, and chaperones to request a visit as soon as registration opens.
Group tour requests typically open during the following times:
Fall Group Tours: Last week of July
Spring Group Tours: First week of November
Summer Group Tours: First week of April
Submitting a request early gives your group the best chance of securing your preferred visit date and time. It also gives your team more time to plan transportation, chaperones, permission slips, meals, and other school or program needs before visiting UT San Antonio.
Want to be among the first to know when the next group tour schedule is posted? Contact the Welcome Center at [email protected] and ask to be added to our Group Tours contact list.
Group tours require at least 1 adult chaperone for every 20 students.
Chaperones are expected to stay with their students throughout the visit and help make sure the group follows campus expectations. This helps keep the tour safe, organized, and enjoyable for everyone visiting UT San Antonio.
Groups should arrive at 15 minutes prior to their scheduled visit. Arriving on time helps us keep your visit on schedule and gives your students the best tour experience possible.
If your group arrives early, please contact the Welcome Center at 210-458-5145 so our team can provide next steps and send our tour guides to the UT San Antonio Convocation Center.
If your group arrives late, please contact the Welcome Center as soon as possible. We allow a 15-minute grace period for late arrivals. After 20 minutes, the tour may need to be shortened to stay on schedule. After 35 minutes, the guided tour may need to be canceled, and our team will provide a self-guided tour option instead.
We encourage groups to plan ahead for traffic, parking, bus unloading, restroom breaks, and walking time before the tour begins.
Yes! Groups are welcome to eat on campus after their tour.
Dining options may include the Roadrunner Café, John Peace Library Food Court, and Student Union Food Court. Availability and hours may vary, so we recommend checking dining hours before your visit and planning enough time for your group to walk to the dining location, eat, and return to your bus or next stop.
Please note that UT San Antonio is a cashless campus, so students and chaperones should plan to bring a debit card, credit card, or mobile payment option for any purchases.
Yes, a housing tour may be arranged for group tours based on availability.
Housing tour availability depends on group size, schedule, staffing, and campus operations. Because housing tours are not automatically included with group tours, please contact the Welcome Center at [email protected] as early as possible if your group is interested in adding a housing tour to your visit.
Early requests are strongly encouraged so our team has time to review options and help plan the best experience for your group.
Yes. To help every group have a great visit, all group tour participants are expected to follow the Group Tour Guidelines.
The group’s main point of contact will review and agree to these guidelines when registering for a group tour. These expectations help keep the visit safe, respectful, organized, and enjoyable for everyone.
During the tour, students and chaperones are expected to stay together, follow directions from the tour guide, keep voices low inside academic buildings, and remain respectful toward tour guides, university staff, students, other visitors, families, and each other.
Disrespectful comments or actions are not allowed. If behavior becomes a concern, the tour may end early, and the group may not be eligible for future group tours.
Groups needing an ADA accommodation or other special request should contact the Welcome Center at [email protected] at least two weeks before the visit.
This advance notice gives our team time to review the request and determine what reasonable accommodations may be available for the group tour.
Please note that UT San Antonio does not provide personal assistance items, such as wheelchairs, mobility devices, or personal mobility support. Guests who need these items should plan to bring them for their visit.
A Group Tour is designed to meet the campus tour needs of 15-80 participants including counselors and/or chaperones. This experience includes a guided, one-hour walk through campus. Groups with less than 15 should register for a daily campus tour.
